Warranty claims

Recover more on your Columbia NW warranty claims.

DAF, PDI, warranty, extended warranty, and insurance claims on Columbia NW units — inspected, documented, filed on the manufacturer portal, and pushed to payment. You pay a percentage of what we recover, and nothing if we recover nothing.

What we handle for Columbia NW dealers

The claims work your service desk rarely has time to do right.

Claim build & FRC lines

We inspect the unit and build the claim to the manufacturer’s standard — the right FRC lines, labor hours, and parts, with descriptions that survive review.

Per-line photo documentation

Close-up and context photos captured per FRC line — the evidence that keeps a line from being denied for “insufficient documentation.”

Filing on the manufacturer portal

We file each claim on Columbia NW’s manufacturer portal and log the claim and pre-authorization numbers the manufacturer assigns.

Denial appeals

When a line is denied or partially approved, we rework it, respond to info requests, and push it back toward full payment.

Parts & invoice reconciliation

We track parts to receipt and match invoices to the correct claim lines so nothing recovered slips through billing.

Every RV type

Whatever Columbia NW units your dealership carries, we handle their claims across all RV types on one workflow.

How a Columbia NW claim gets paid

One workflow, owned end to end.

01

Inspect & build

We inspect the unit and build the claim — FRC lines, labor, parts, and per-line photos documented to the manufacturer’s standard.

02

File on the portal

We file on Columbia NW’s manufacturer portal and log the claim and pre-authorization numbers the manufacturer assigns.

03

Fight each line

We track each line to a decision, appeal denials, answer info requests, and convert partial approvals to full.

04

Get paid

We chase approvals to payment, reconcile parts and invoices, and hand you clean, paid-out numbers in your portal.

How Columbia NW warranty claims actually work

Columbia NW (Columbia Northwest) processes warranty claims through its own manufacturer portal and FRC (flat-rate code) system. FRC codes are not universal — a code and labor figure that pass for one manufacturer do not carry over, so a claim has to be built to Columbia NW’s specific standard to survive review.

The manufacturer — not the dealer and not us — assigns the claim number and pre-authorization number once a claim is filed. Our job is to build the claim right, file it on the manufacturer portal, log those numbers, and fight every line to a decision.

We do this for Columbia NW dealers across all RV types, alongside your existing DMS. You approve the approach; we execute it; and every claim, FRC line, status, and photo stays visible in your dealer portal in real time.

  • Built to Columbia NW’s FRC system, not a generic template
  • Filed on the manufacturer portal, with claim and pre-auth numbers logged
  • Every line tracked to a decision and appealed when denied
  • Runs alongside your DMS — full visibility in your portal

Columbia NW warranty claim questions

Do you file Columbia NW claims for us?

Yes. We build the claim and file it on Columbia NW’s manufacturer portal, then log the claim and pre-authorization numbers the manufacturer assigns and track each line to a decision.

What does it cost?

A percentage of what we recover on your Columbia NW claims. No retainers and no per-seat software fees — if a claim recovers nothing, you owe nothing on it.

Do you use Columbia NW’s own FRC codes?

Yes. FRC codes are manufacturer-specific and not universal, so we build every claim to Columbia NW’s own FRC system and labor standards rather than a generic template.

What happens when a line is denied?

We appeal it. A denial is usually a fixable problem — a wrong FRC code, a missing per-line photo, a thin description — so we rework the line, resubmit, and push partial approvals toward full payment.

Does this replace our DMS?

No. We run alongside your DMS and handle the Columbia NW claims workflow it doesn’t — building, filing, fighting, and reconciling claims to payment, all visible in your portal.
