PIPEDA Compliance
Effective October 23, 2026
Dealer Suite 360 is a Canadian company serving RV dealerships in Canada and the United States. The Personal Information Protection and Electronic Documents Act (PIPEDA) is Canada’s federal privacy law for private-sector organizations. This page explains how we apply its ten fair information principles to the personal information of dealership staff and their customers. In Quebec we also follow the Act respecting the protection of personal information in the private sector (Law 25). PIPEDA is a law, not a certification: this page describes our practices; our Privacy Policy gives the full detail.
1. Accountability
A designated Privacy Officer is responsible for our compliance with PIPEDA. We require our service providers, by contract, to protect the personal information they process for us and to use it only for the services they provide.
2. Identifying purposes
We explain why we collect personal information before or when we collect it: to respond to requests and prepare free claims audits, to provide claims recovery, the portal, support and billing, to review job applications, to measure our website and advertising (only with your consent), and to meet our legal obligations.
3. Consent
We collect, use and share personal information with consent — express, such as the consent box on our forms and the cookie banner, or implied where appropriate. You can withdraw consent at any time, subject to legal or contractual limits. Dealerships are responsible for having consent for the customer information they enter in the portal.
4. Limiting collection
We collect only what our services need — for example contact details for a request, and the unit, claim and photo information a warranty claim requires. Analytics and advertising cookies are off until you accept them.
5. Limiting use, disclosure and retention
We use personal information only for the purposes identified, and we do not sell or rent it. We keep it only as long as needed for those purposes and as the law requires; email tracking data, for example, is deleted after 13 months. Information that is no longer needed is deleted or made anonymous.
6. Accuracy
We keep personal information as accurate and complete as its purpose requires. Dealership users can update their own details and their customers’ records in the portal, and anyone can ask us to correct information about them.
7. Safeguards
- Encrypted connections (HTTPS) for the website and portal.
- Role-based access, so each user sees only what their role needs.
- Separation of each dealership’s data from every other dealership’s.
- Authentication controls in the portal, including two-factor authentication.
- Hosting and service providers with strong security practices, and an audit log of sensitive actions.
8. Openness
Our Privacy Policy and Cookie Policy describe, in plain language, what we collect, why, which service providers process it, where it is stored and how long we keep it. Some providers store information in the United States; it is then subject to the laws of that country.
9. Individual access
You can ask to see the personal information we hold about you and how it has been used and shared, and, where the law provides it, ask us to delete it or send it to you in a commonly used format. We respond within 30 days.
10. Challenging compliance
If you have a concern about how we handle personal information, contact our Privacy Officer first and we will investigate. You may also complain to the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d’accès à l’information.
11. Privacy incidents
If a breach of security safeguards creates a real risk of significant harm, we notify the people affected and the Privacy Commissioner as PIPEDA requires, and keep a record of every incident.
12. Contact our Privacy Officer
Write to [email protected] with “Privacy” in the subject line, or call (800) 431-4299.
