Terms of Service
Effective October 24, 2026
These Terms of Service govern your use of dealersuite360.com, the Dealer Suite 360 portal and the services we provide to RV dealerships. By using the website, creating a portal account or ordering a service, you agree to these terms. If you accept them on behalf of a dealership, you confirm you are authorized to bind it.
1. Who we are
Dealer Suite 360 (dealersuite360.com) is based in Toronto, Ontario, Canada. In these terms, “we”, “us” and “our” mean Dealer Suite 360; “you” and “dealership” mean the business, and its users, that uses our website, portal or services.
2. Our services
We provide warranty claims recovery services (DAF, PDI, warranty, extended warranty and insurance claims), a dealership portal, and related services described on our website. Some services shown on our website are planned and not yet available; they are identified as such and will be governed by these terms and any additional terms we publish when they launch.
3. Claims are decided by manufacturers
We prepare, submit and follow up on claims on your behalf, using the information, photos and documents you provide. Each manufacturer, warranty provider or insurer decides whether to approve, adjust or deny a claim, and sets its own claim numbers, codes and payment terms.
We work to maximize approved amounts and reduce denials, but we do not guarantee that any claim will be approved, the amount approved, or the timing of a payment. Results shown on our website describe past or typical outcomes and are not a promise of future results.
4. Your responsibilities
- Provide accurate, complete and truthful information, photos and documents, and keep your account details up to date.
- Perform repairs, inspections and work in line with manufacturer requirements, and only submit claims for work actually performed.
- Obtain any consent needed for the personal information of your customers that you enter in the portal.
- Keep your sign-in details confidential, give access only to authorized staff, and tell us promptly about any unauthorized use.
- Use the website and portal lawfully, and do not attempt to disrupt, reverse-engineer, scrape or gain unauthorized access to them.
5. Accounts and access
Portal accounts are created for approved dealerships. A dealership owner manages its staff accounts and is responsible for what they do in the portal. We may suspend access to protect the security of the platform, to investigate misuse, or for non-payment, and will tell you why when we can.
6. Fees and payment
Claims recovery is billed as a flat monthly subscription for the plan you choose (such as Momentum or Turbo, or Enterprise by quote), with no percentage of recovered amounts. Other services are billed as shown when you order them. The fees that apply to you are those on our pricing page when you subscribe, in your portal, or in your written agreement with us.
Payments are processed by Stripe; Interac e-Transfer may be accepted for Canadian dealerships. Amounts are in the currency shown, before applicable taxes. Subscriptions renew each billing period until cancelled. Unpaid invoices may lead to suspension of services.
7. Promotions and free audits
Free claims audits, promotional offers and invitation programs are subject to the conditions stated with them, including eligibility and end dates. We may end or change a promotion that has not yet been redeemed.
8. Your data
You keep ownership of the data you enter in the portal. You allow us to use it to provide and improve our services, and to create anonymized, aggregated insights that do not identify you or your customers. We handle personal information as described in our Privacy Policy.
9. Our intellectual property
The website, portal, software, content and Dealer Suite 360 brand belong to us or our licensors. We grant you a limited, non-exclusive, non-transferable right to use the portal for your dealership’s business while your account is active. You may not copy, resell or build a competing product from it.
10. Third-party services
The services rely on third parties such as manufacturer portals, payment processors and hosting providers. We are not responsible for their availability, decisions or terms, which apply to your use of them.
11. Availability and changes
We aim to keep the website and portal available, but they may be interrupted for maintenance, updates or reasons beyond our control. Current status is published at status.dealersuite360.com. We may change or improve features over time.
12. Disclaimers
Except as stated in these terms or a written agreement, the website and portal are provided “as is” and “as available”. Information on our website, including guides and calculators, is general information and not legal, tax or financial advice.
13. Limitation of liability
To the extent permitted by law, we are not liable for indirect, incidental, special or consequential damages, or for lost profits, revenue or data, including from a claim being denied or delayed. Our total liability for any claim relating to the services is limited to the fees you paid us in the 12 months before the event that gave rise to it.
14. Indemnity
You agree to compensate us for losses and costs resulting from inaccurate or fraudulent information you provide, claims for work not performed, or your breach of these terms or of the law.
15. Ending the relationship
You may stop using the services and close your account at any time, subject to any minimum term in your agreement and payment of fees owed. We may end the services for a material breach of these terms. When an account is closed, we keep data only as long as needed for the purposes in our Privacy Policy and as the law requires.
16. Governing law
These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there. The courts of Toronto, Ontario have jurisdiction, unless the law where you are located requires otherwise.
17. Changes to these terms
We may update these terms. The effective date at the top shows when they last changed; significant changes will be announced on our website or in the portal. Continuing to use the services after a change means you accept the updated terms.
