The five-stage claims workflow
Every claim follows the same five-stage process. We do the work; your team keeps full visibility at every stage.
Inspect
Each unit is inspected and every covered issue identified — at DAF, at PDI, and throughout the warranty period.
Document
Photos, labor, parts, and the correct FRC lines are assembled to each manufacturer’s standard.
File
Claims are submitted on the manufacturer portal, with pre-authorizations handled where required.
Track
Every claim is followed through review — info requests answered, denials appealed, partials pushed to full.
Recover
Payments are matched to invoices and reconciled. Every dollar that lands stays with your dealership — you only pay your flat monthly plan.
Who does what at each stage
Your dealership keeps selling and servicing units. Dealer Suite 360 carries the claims work from the first inspection to the final payment.
1. Inspect
Your team: gives access to the unit and passes along customer-reported issues. Dealer Suite 360: inspects at DAF, at PDI and during the warranty period, and logs every covered issue against the VIN.
2. Document
Your team: nothing extra to prepare. Dealer Suite 360: assembles close-up and context photos, labor, parts and the correct FRC lines to each manufacturer’s standard.
3. File
Your team: approves the approach. Dealer Suite 360: submits the claim on the manufacturer portal, requests pre-authorizations where required and logs the claim and pre-auth numbers.
4. Track
Your team: watches status in the portal. Dealer Suite 360: answers info requests, appeals denied lines and pushes partial approvals toward full payment.
5. Recover
Your team: receives the payment. Dealer Suite 360: matches payments to invoices and claim lines and reconciles them. We take no cut of the payment.

How payment works
Claims recovery is one flat monthly fee: Momentum at $799 a month or Turbo at $1,499 a month for one rooftop, with unlimited claims. We don’t take a cut — recover $20,000 in a month and you keep all $20,000. Same price every month, however many claims you file.
Sign for 12 months and save 20%. Dealer groups and multi-location operations get an Enterprise quote, and every other service is an add-on. Start with a free claims audit: you see what you are leaving on the table before you pay a dollar.
You approve the approach. We execute it. Every claim is visible in your portal in real time.
How it works: common questions
Who files the warranty claims — us or Dealer Suite 360?
Dealer Suite 360 does. Our specialists submit each claim on the manufacturer portal, log the claim and pre-authorization numbers, and track every line to a decision.
What does my service team still have to do?
Very little beyond giving access to units and passing along customer-reported issues. Documentation, filing, follow-up, appeals and reconciliation are handled by Dealer Suite 360.
How long does onboarding take?
Typically up to 30 days. Onboarding is operator-assisted: we verify your dealership, connect your workflow, set up your portals and train your team. Once you are onboarded, claim work starts immediately.
How do we know where a claim stands?
In your dealer portal, in real time. Every claim, FRC line, photo and status is visible to your staff, and customers can follow their own claim in the customer portal.
What happens when a claim is denied?
We appeal it. Most denials come from a fixable problem such as a wrong FRC code or a missing photo, so the line is reworked, resubmitted and pushed toward full payment.
When do we pay Dealer Suite 360?
Your plan is billed once a month, or once a year if you sign for 12 months and save. That is the whole fee: no percentage of your claims and no per-claim charge, so every dollar we recover stays with your dealership. Add-on services are billed as agreed in writing.
