Team and locations

Adding your team and locations

Give everyone on your service team their own sign-in, with the right role and app access. If you run more than one location, add each one. Only the dealer owner can do this.

Invite a team member

01

Open Staff

In the portal menu, under Admin, click Staff. You see everyone on your team, their role, their status and their mobile app access.

02

Click + Invite Staff

Enter the person’s email address.

03

Choose a role

Pick Dealer Staff, Service Manager, Shop Manager, Parts Department or Technician. If you have more than one location, choose their location, or All locations.

04

Turn on Mobile app access

Turn it on for anyone who will scan VINs and take photos in the DS360 app. A phone number is needed to use it.

05

Click Send Invitation

The person gets an email with a link. They set up their sign-in and land in the portal. Invitations last 7 days; after that, invite them again.

Roles at a glance

Click Role permissions on the Staff page to see exactly what each role can see and do.

Dealer owner

Everything, plus billing, plans, add-ons, settings, staff and locations. The owner account is created when DS360 approves your dealership.

Dealer Staff

Day-to-day work: upload photos, follow claims and units, and send support requests. Staff can’t manage billing, settings or other staff.

Managers and departments

Service Manager, Shop Manager and Parts Department each see what their job needs. The Role permissions page lists it.

Technician

A focused account for the shop floor and the app: scan, inspect, photograph and submit.

Change or remove someone

To change what someone can do, change their role on the Staff page. The permissions follow the role; you can’t set them one by one.

To turn the app on or off for someone, use the Mobile app access switch in their row. To take someone off your team, click Remove in their row.

Add a location

Each rooftop needs its own plan, or Enterprise. Add a location only when it has its own plan or is part of your Enterprise quote.

01

Open Locations

In the portal menu, under Admin, click Locations. You see your locations and who works at each.

02

Click Add Location

Enter the location name, address, phone and email, then save.

03

Assign your staff

Under Staff Assignment, choose the location each person works at.

04

Choose the settings

Multi-Location Mode shows a location switcher in the app bar when you have two or more locations. Cross-Location Inventory lets staff view, but not edit, units at your other locations.

Common questions

Is there a limit on staff accounts?

Plans differ by service level, not by number of users. Invite the people who need to capture units or follow claims.

Our second location is opening. Does our plan cover it?

No. A plan covers one rooftop. The new location needs its own plan, or your group can move to Enterprise.

Can staff invite other staff?

No. Only the dealer owner manages staff and locations.

Can our customers get a sign-in too?

Yes. Customers your dealership invites from the Customers page can follow their own unit and claims in your customer portal.

Next step

Find out what you’re leaving on the table.

A free claims audit shows you exactly how much warranty money is recoverable — with no obligation and nothing to install.
